STUDENT VOLUNTEER POLICY

ESA will select 75 to 90 responsible Undergraduate and Graduate Students to serve as volunteers during the 2005 ESA -INTECOL Joint Meeting to assist us in performing various tasks. These tasks include tote bag stuffing, transportation, AV projection, equipment sign in and sign out, Meeting Registration Desk and ESA booth staffing, and event ticket collection. Each Student Volunteer will be required to provide 14 hours of service during the meeting in exchange for a refund of his/her meeting registration fee after the meeting. ESA will NOT provide free housing during the meeting nor free tickets for Ticketed Events for Student Volunteers.

Individuals interested in serving as Student Volunteers must register to attend the meeting. They should also mark the appropriate box on the Meeting Registration Form to indicate their interest in serving and provide information on where they may be contacted prior to the meeting (especially in July). Student Volunteers will be accepted on a first-applied, first-selected basis. Priority will be given to students who have volunteered in previous years or who have been selected by the program committee . Students will be notified of their selection in early July and will be asked at that time to verify their willingness to fill these limited positions, to indicate any scheduling constraints, and to note their preferences in terms of specific work assignments.

Each Student Volunteer will receive a list of work assignments and a time sheet with his/her registration materials on site. Student Volunteers usually work 4- to 6-hour shifts to complete 14 service hours and shifts will be available every day from Saturday, August 6 through Friday, August 12. As assignments are fulfilled, the Student Volunteer will be required to have his/her time worked verified by the Local Host Chair OR a designated alternate (e.g., an ESA staff member). U pon completion of the required 14 hours of service, the Student Volunteer will be asked to turn in his/her time sheet at the Onsite Meeting Registration Desk.
