PRESENTATION SPECIFICATIONS

ORAL PRESENTATIONS : (Symposia, Special Sessions, Organized Oral Sessions,

Contributed Oral Paper Sessions)

Equipment Provided:

Two methods of presentation are acceptable:

  • Power Point

OR

  • Adobe Acrobat PDF files.

Each meeting room will be equipped with a laptop PC running Windows XP, an LCD Projector and a screen sized proportional to the room. There will also be a standing podium with a fixed microphone.

Software:

Applications loaded on the Laptop PC are MSOffice XP, and Adobe Acrobat Reader version 7.01.

Make sure that your software is fully compatible with these versions and this hardware.

USB devices (e.g. flash drives) and CD/ DVD are the preferred hardware to be used in bringing your presentation to the meeting.

CRITICAL: Please be careful going through airport security. Recently the more powerful security detectors used at some airport have erased or corrupted information on discs and Flash or Thumb drives. Just as you would high speed camera film, take care to protect your Power Point presentations you carry with you.

Pre-Loading your Presentation:

Please go to your assigned meeting room 15-20 minutes prior to the start of your session so that you can pre-load your presentation with the student projectionist or technician assigned to your meeting room.

Be aware that Evening Sessions and Workshops and Monday afternoon Special Sessions will NOT have either a student projectionist or a technician assigned to your session.

Special needs can be accommodated if presenters contact Assistant Program Chair Dave Grow in advance (by July 1).

These include:

  • zip drives

OR

  • floppy discs
  • 35 mm slide projectors
  • overhead projectors

Oral Presenters MAY NOT use the following as they are not supported on our AV equipment: MAC applications
Animated graphics

Please do NOT bring your own laptop for your presentation. Laser Pointers: If you own your own laser pointer and want to use it for your presentation, please bring it with you. Laser pointers are available for Presiders ONLY at the Equipment Sign Out/Sign In table but these pointers can burn out swiftly, and they frequently disappear. Speaker Ready Rooms:

There will be three fully equipped speaker ready rooms at the Palais des congrès de Montréal on Level 4. You need to sign up in advance at the Equipment Sign Out/Sign In table On-Site at meeting for a time to practice your presentations. Presentation Timing: ( for Organized Oral Presentations and Contributed Oral Paper Presenters ONLY)
You are allowed 15 minutes for your presentation. The next five minutes belongs to the audience and moderator for questions and answers, and transition to the next speaker. Time limits will be strictly enforced by the session organizer or session presider.

POSTER SPECIFICATIONS

Each Poster Board side measures 4 ft. tall X 8 ft. wide (2.4 m wide x 1.2 m tall) less about 1.5 inches around each edge for the border. Modern poster technology permits the printing of the poster as a single sheet. Persons who do this are advised to leave generous margins so that nothing will be lost if the actual dimensions of the posters are somewhat smaller than announced due to the frames in which the boards are set.

Affixing your Poster to the Board:

Push pins will be provided, however, you are encouraged to bring your own supply of push pins. You may bring Velcro to affix your poster but we cannot guarantee it will properly adhere . NO other substance may be used to affix your poster to the poster board.

Because of space and equipment limitations, poster presenters may NOT use audio-visual equipment. Presentation Timing for Presenters:
Posters should be put up by 8:00 AM on the day of your presentation, and will remain up all day. You are expected to be at your poster from 5:00 PM to 6:45 PM to discuss your work and to answer questions. You must remove your poster promptly at 6:45 PM Monday through Wednesday and by 6:30 PM on Thursday. Late Breaking and Newsworthy Posters on Friday morning should also be put up by 8:00 AM , and you should be at your poster from 8:30 AM to 10:30 AM .

Poster Appointments: ( Monday through Thursday Poster Sessions ONLY ) In addition, at your option, you will be able to post a notice on your poster board that will enable other attendees to make 10 minute appointments to see your poster during the second hour of the lunch break (12:30 PM to 1:15 PM ) on the day that your poster is up.
