Making A Housing Request

To obtain negotiated ESA-INTECOL Joint Meeting rates at official lodging locations, housing requests must be submitted to the Housing Bureau at Tourisme Montreal. Their staff will receive and process requests for housing BOTH at hotels and inns and at residence hall dormitories. All housing requests must be submitted using the official Housing Reservation Form and must be accompanied by valid credit card information or a deposit by check (in an amount equal to one night’s room rate) to guarantee the reservation.

The official Housing Reservation Form is available in electronic and print formats and may be submitted to the Housing Bureau either online, by fax, or by mail. Regardless of the method you use to submit your housing request, please submit  ONLY ONE request in order to avoid duplicate processing and possible overcharging. To submit a housing request, click on the Registration and Housing link on the ESA Annual Meeting web page to access the official Housing Reservation Form in electronic and printable PDF format.  

  • To submit a housing request online, select and complete the electronic version of the official Housing Reservation Form. Reservation must be guaranteed with a credit card if submitting a housing request online.  
     
  • To submit a housing request by fax, select the print version of the official Housing Reservation Form and fax the completed form to the Housing Bureau at (514) 844-6771. Reservation must be guaranteed with a credit card if submitting a housing request by fax.  
     
  • To submit a housing request by mail, select and print the PDF version of the official Housing Reservation Form and send mail the completed form to: Tourisme Montereal, 1555 Peel Street, Suite 600, Montreal (Quebec) Canada H3A 3L8. Reservation may be guaranteed with a credit card or with an accompanying check deposit if submitting a housing request by mail.

To ensure that your housing request is properly processed, you must complete each of the items marked with an asterisk (*) on the Housing Reservation Form. Please be sure to indicate the correct spelling of your first and last names and the address (for email and/or regular mail) where you prefer to receive your Reservation Acknowledgement. We also ask that you indicate your top three housing choices, in order of priority.

Please be sure to provide valid credit card information–including card number and expiration date–or deposit payment by check to make and guarantee a reservation. No actual charge will be made to your credit card prior to check out unless you fail to show up on the scheduled date of arrival and do not cancel your reservation in accordance with the policies of the location holding your reservation. Check deposits, however, will be processed upon receipt and applied against the guest’s room charges at check out.

If you will share a room, you MUST identify your roommate(s) in advance of making your housing reservation. Please submit only ONE Housing Reservation Form for each shared room and list the name(s) of all room occupants in the space(s) provided.

The deadline for receipt of all Housing Reservation Forms requesting hotel or dormitory rooms is July 4, 2005. If your Housing Reservation Form is received after that date, we cannot guarantee that either discounted rates offered or rooms will be available in any of the official lodging locations.
