Abstract
presentations that are withdrawn late and presenters who fail to show up to make
scheduled presentations disrupt the meeting flow for attendees and leave
organizers scrambling to fill last-minute program gaps. To discourage these
practices, ESA
and INTECOL have adopted the following policies and fees.
Each
person who submits an abstract–whether for presentation as a symposium talk,
organized or contributed oral paper, or poster–MUST also provide payment
information (credit card or check) to ESA. No abstract submission will
be accepted for presentation unless this payment information is received by ESA
.
Payment
information will be used to process Late Cancellation/No Show Fees ONLY if the
presenter either fails to submit written notification of abstract withdrawal to
Dave Grow, Assistant Program Chair, (by email to dgrow@dakotacom.net) prior to
the
May 1, 2005, Cancellation Deadline or
fails to show up to present his/her talk, paper, or poster and does not arrange
for a co-author or other alternate person to present the abstract.
The
schedule of Late Cancellation/No Show Fees will be $40.00 US Dollars for an
abstract submitted for presentation as a symposium talk, organized oral paper,
or contributed oral paper or $25.00 US Dollars for an abstract submitted for
poster presentation. Please note that the Late Cancellation/No Show Fees may be
waived on a case-by-case basis for late cancellations due to certain extenuating
circumstances (e.g., personal or medical emergencies, death of an immediate
family member, or inability to obtain travel visa). Also, any author who is a
citizen of and residing in developing countries (as defined by ESA
) will not be assessed the
$25.00 Late Cancellation/No Show Fee an abstract submitted for poster
presentation, but will be assessed the $40.00 Late Cancellation/No Show Fee an
abstract submitted for presentation as a symposium talk, organized oral paper,
or contributed oral paper as applicable.
