Information on Publicity for Authors and Press Officers

Embargo policy: Articles to be published in ESA journals are subject to an embargo on publicity until the first day of the publication month.We ask that findings reported in our journals not be reported in the mass media until after they are published. ESA’s embargo policy is described in greater detail on our publication website.

Preprints: Articles that are available on ESA journal websites as preprints are considered to be published (not embargoed).

Social media and talking to reporters: ESA encourages authors to talk and tweet about their published papers. Sharing the news of an accepted paper on social media is also fine. Occasionally, either ESA or an author’s institution will distribute an “embargoed” press release to trusted reporters prior to publication. We ask that authors not speak about their unpublished findings with reporters who have not explicitly agreed to abide by the publication date embargo.

Meetings: Authors may present their unpublished data at scientific conferences and seminars. If a member of the press attends a presentation and writes a story based only on the presentation, such coverage will not affect consideration of the author’s paper, but we ask that authors not seek out press attention for unpublished results through press releases or participation in news briefings.

We waive registration fees for press officers.

  • If you cannot attend but would like to promote posters and oral presentations from members of your institution, we are happy to distribute your press releases in the meeting Press Room. Press officers may request copies of all abstracts related to their institution.
  • We can provide you with a list of all presenters from your institution, their presentation titles, and abstracts. This information will be available in May.

We do not waive registration fees for editors of peer-reviewed journals, ad sales representatives, publishers, program officers or marketing professionals.

Meeting abstracts are not embargoed.
